How do I keep track of my members and assign them a plan?

The Members tab, included in the Essentiel plan, lists the people who have, or had, a class pass or a subscription with you. You can also assign a plan paid directly to the studio.

The Members tab is part of the Essentiel plan (30-day free trial) and is used once ticketing is enabled. It covers holders of a class pass or a subscription, not people who bought a single spot.

The Essentiel plan brings together three tools: members (list, search and member records), class passes, packages and subscriptions (creation, tracking of rights, assigning a plan paid at the studio, and online sales) and member access control by NFC, with the student's Wallet card. Checking tickets by QR code stays included in the Free plan.

If your studio goes back to Free (end of the trial or of the subscription), these tools lock again: the Members tab shows Voir mon offre (See my plan), and you can no longer create or edit class passes, packages or subscriptions, assign them, sell new ones online or use NFC access. The passes and subscriptions your students already hold can still be used to book sessions until they expire, and a student can still top up a current class pass. One exception: you can still revoke a current assignment (see below).

The member list

Filter by Current, Past or All, and look up a name with Search a member. Each row shows the plan, what is left (“N / M classes left”, “Unlimited”…), the end date, and whether the plan was Paid to the studio or Paid on DanceConnect.

Click a member to see their current plan, the sessions it has covered and their history.

Assigning a plan paid to the studio

If a student has already paid you directly (cheque, cash…), assign them their plan: they won't be asked to pay anything online, and no DanceConnect fee applies (manual credit).

  1. Click Add a member, or Assign another plan from their profile.
  2. Find the student by their email or phone number: they must already have a DanceConnect account.
  3. Choose who it is for (the student or a child profile) and the plan, from your class passes and subscriptions.
  4. If needed, enter an end date and an internal note (for example “Cheque #412”), then click Assign subscription.

The student immediately sees their plan as active in their app. They can only have one class pass and one subscription running at a time at your studio: to change, use Replace.

Replacing or withdrawing an assigned plan

On the member's profile, Replace withdraws the current plan and assigns another one; Withdraw assignment removes it, and the student is notified. A plan the student bought online cannot be withdrawn from your space.

If your studio is on Free, the Members tab stays locked, but the Attributions en cours (Current assignments) list appears below the locked screen: it shows the plans you assigned that are still current. Click Révoquer (Revoke) to withdraw an assignment made by mistake: the plan can no longer be used, and the student is notified. The rest of the tab (member list, member records, assigning) is not available on Free.
